How to Create Expiring Nextcloud Share Links
Learn how to create expiring Nextcloud share links with a password and the right permissions. Includes missing settings, expired links and file-drop options.

Create an expiring public link to let someone collect a file from Nextcloud before a deadline. You'll need an existing Nextcloud account, the file or folder, and permission to create public shares. This guide covers the link settings, a recipient check and the problems that can stop the share working.
How to create expiring Nextcloud share links without changing the file
Expiration turns off one share. It doesn't delete the original file or recall a copy the recipient has already downloaded. Treat the date as the end of access through that link. If someone must stop using a document after Friday, the link alone can't enforce that agreement.
The Nextcloud project page is a starting point for the service. These steps follow its official file-sharing manual, checked October 9, 2026. Your server administrator can limit public sharing, passwords and the latest allowed expiration date, so two Nextcloud accounts can expose different options.
My pick for a client handoff is a separate folder containing only the deliverables. A public link to a busy project folder is harder to review: tomorrow's upload might be material you never intended to send. Keep the delivery folder separate from drafts and internal notes.
1. Open the item in Files
Sign in to the Nextcloud web interface and open Files. Find the file or folder you want to share, then click its Share icon to open the sharing sidebar. Check the item's name and location before creating a link, especially if several revisions have nearly identical names.
For a folder, open it first and inspect its contents. A delivery folder might contain a PDF, an image and a readme explaining which version to use. You don't need to share the parent folder simply because that is where you keep your work.
The sharing sidebar is also where you can inspect existing access. Others with access shows access inherited through higher folders when your account has the necessary rights. Expiring one public link won't cancel a separate share from that parent folder.
2. Create a public link for this handoff
Create a public link in the sharing sidebar. Nextcloud generates a tokenized URL for that share. If a link already serves another recipient, use Add another link to create a separate one with its own rights.
Separate links help when deadlines differ. A contractor might need the folder through Tuesday, while a client needs it through Friday. Reusing one link joins those two access decisions together. Make the recipient and deadline clear in your own delivery record so you can later identify the correct share.
Don't paste a URL from the browser's address bar as the handoff. An authenticated Files page and a public share are different destinations. Copy the URL belonging to the public share you've just created.
3. Select the recipient's permissions
Choose Read only for viewing and downloading a finished file. Use Allow upload and editing only if the recipient should change the shared folder. A collection request calls for File drop, which lets people upload without seeing files already in that folder.
Those choices solve different tasks. Sending a completed brochure doesn't call for editing rights. Asking a photographer to upload proofs doesn't call for exposing another photographer's files. Start from the action the recipient should take, then select the matching option.
Hide download hides download controls and ordinary browser right-click options. It doesn't provide a promise that displayed content cannot be copied. For confidential material, reducing the folder's contents and choosing an appropriate recipient matter more than hiding a button.
4. Set the password and expiration date
Enable Password protect if the recipient should need a password, then set Set expiration date to the deadline for this share. Read the saved date after selecting it. If your server enforces a maximum duration, a later date may be unavailable.
Choose a deadline with enough room for the actual handoff. If you send a file at the end of your workday and the recipient works in another time zone, an immediate deadline can make the link useless before they see the message. This guide doesn't assume a universal cutoff hour for every Nextcloud server.
Send the password separately from the link when the material calls for that extra step. Put the deadline in the message in plain language, such as “Please collect the files before Tuesday.” Avoid suggesting that expiration will erase a file from the recipient's computer.
5. Check the link as a recipient
Open the public link in a private browser window where you aren't signed in to Nextcloud. A working password-protected share should ask for the password, then show the intended item with the permitted actions. Inspect the folder contents and try the action you expect the recipient to perform.
Return to your signed-in window and confirm the share remains in the sidebar with its saved expiration. That extra check catches a failure where a newly created link disappears immediately. It also prevents sending a copied URL after accidentally removing its share.
You can use Unshare to end access early. If the deadline changes, edit that share's date instead of sending a second URL without explaining which one replaces the first.
Known problems with expiring shares
An expiring link can fail even when creation appears to succeed. A December 2025 forum thread, with a January 2026 follow-up, describes shares that immediately disappear and show “Share not found.” One reporter also saw immediate expiration in Activity. The thread has no posted fix.
If that happens, stop distributing the failing URL. Record the server version, the saved date, the Activity entry and whether the share still exists after a refresh, then send those details to the server administrator. Don't remove expiration from a sensitive handoff merely to make an unverified link appear to work.
Other failures have simpler explanations: public sharing can be disabled for your account, a deadline can exceed the server's maximum, or the recipient can be using an old URL after you removed its share.
| Problem | Likely cause to check | Next action |
|---|---|---|
| No public-link option | Server or group sharing settings | Ask the administrator whether your account may create public links |
| A later date isn't accepted | Enforced maximum duration | Use an allowed deadline or ask for a specific exception |
| Share not found immediately | Missing share or immediate expiration | Refresh the sidebar and collect the Activity details for support |
| Recipient can edit a delivery folder | Upload/editing rights selected | Change to Read only and repeat the recipient check |
Variations for different handoffs
Use a single-file link when only one approved PDF should leave the account. Use a folder link for a package whose documents belong together. Use File drop for collecting files from someone else; pair the request with a clear filename convention so incoming documents are identifiable.
For an ongoing coworker relationship, an internal user or group share can be easier to manage than distributing public URLs. Public links are strongest for a limited handoff to someone who doesn't need an account on your server.
Completion checklist and next steps
- The share opens outside your signed-in session.
- The recipient sees only the intended file or folder.
- The saved rights and date match the handoff message.
- The password reaches the intended person.
- You can identify and remove this specific share later.
For hosted file delivery, compare Dropbox and pCloud. If the job is keeping your own computers in sync, Syncthing addresses that workflow. A photo library points toward Immich. Browse file-sharing tools when the task extends beyond this one link.
